Why are we doing this?

Your Asana account might have two accounts linked - one with your NHS.net email address and a dummy account with @penrosehealth.co.uk

Asana has now made a change that means each of these accounts is associated with a separate workspace: Your NHS email is connected to the NHS workspace (which is not used by most of us), while @penrosehealth.co.uk is linked to the Penrose Health Workspace (which is our main workspace).

Previously, users could consolidate their Asana workspaces into one single account, and navigate between those accounts. With the introduction of the new Asana Account Email Policy, users are no longer able to consolidate accounts created with non-compatible email addresses. These accounts will now be treated as separate accounts.

To make things really clean and tidy going forward, we are going asking everyone to remove their old email addresse (@penrosehealth.co.uk) and add the new @penrosehealth.nhs.uk domain so that is the only account you’re now using for Asana.

Please follow the instructions below to migrate your account, and let the IT team know if you have any issues!

How to migrate your account

1. Open Asana and log-in using your usual log-in details.
2. From the Asana Homepage, click on your initial or profile picture (in the top-right corner) and select Settings

3. Click on the Account tab in the Settings window, scroll down to the section Manage emails, and click the button + Add new email

If you get the error message pictured below, click Reauthenticate and log-in to your account again (using your usual log-in details)

3. Type in your @penrosehealth.nhs.uk email address (the start of this email should be the same as your NHS email address) and click Add

4. Asana will now send an email to your @penrosehealth.nhs.uk email address to verify your account. Open your @penrosehealth.nhs.uk email inbox and find the email that looks like this ⬇️

To open your @penrosehealth.nhs.uk email account, go to https://outlook.office.com/mail/ in a private browser window. Enter your @penrosehealth.nhs.uk email address, and your password is the same as your password or PIN that you use to log-in to your laptop!
1. Click the Add email button in the email - this will redirect you back to Asana and verify your account!
2. Open your Settings again, go to the Account tab, and you should now see both your @penrosehealth.nhs.uk and @penrosehealth.co.uk email addresses linked to your account
3. Click Remove next to your @penrosehealth.co.uk email address

You can now use your @penrosehealth.nhs.uk email address and existing password to log in!
