Anyone who wants to can use these rooms for meetings! However, they should be booked in advance wherever possible to avoid scheduling conflicts.
Both rooms also have whiteboards that you’re free to use - there should be rubbers and pens magnetically stuck to the board. Remember to take a picture of any notes that you’ve made that you don’t want to lose.
Kingfisher Conference Room
How to book
When you're scheduling a meeting, through Teams or Outlook, invite kingfisher.conferenceroom@nhs.net as an attendee to book the conference room.
You can use the scheduling assistant function to see whether someone else has already booked the room at the time you want it.
How to set-up
There are two different ways that you can join a meeting/use the screen in the conference room: by logging in to the computer in the conference room, or casting your screen.
Logging in to the computer
- The computer is on the floor on the right-hand side of the projector screen. If you need to turn it on, simply press the power button.
- If it doesn't seem to be working, check that the projector is also turned on. ⬇️
- There’s a keyboard and mouse on the table to control the computer.
- The remote control for the projector is usually left on the table. If you need to turn it on, press the power button on the remote.
- If it doesn't seem to be working, press the input button on the remote and make sure that you're on the computer setting.
- You can also check that the computer is turned on. ⬆️
- You'll need to sign in to the computer if you want to use the screen → just use your usual desktop log-in for Kingfisher!
- The meeting owl in the middle of the table is the camera, microphone and speaker used if you join a meeting using the computer.
- If the owl doesn't seem to be working once you join your meeting, click on the three dots in the top-right corner of the window, and make sure that the correct speaker and microphone are selected.
- The meeting owl also occasionally gets disconnected so please also check the USB cable under the table.
Casting your screen
- First of all, you must be connected to the Kingfisher Staff WiFi to be able to cast to the screen (the password is k1ng1sher)
- To cast using Microsoft Edge browser: In the top right corner, click on the three dots → click More → click Cast
- To cast using Google Chrome: In the top right corner, click on the three dots → Click Cast…
- Click on the ‘Sources’ dropdown to select whether you want to cast only the current tab that you have open in your browser, or your whole screen.

How to book
Unfortunately, you aren’t able to see when the room is available on your calendar in Outlook or Teams (yet). You can look on the display in the room to see the upcoming meetings for that day, or you can look at the calendar under Availability below to see when it’s booked. 👇
How to set-up
The Logitech Rally Bar Mini on the table is the brains for this conference room. It functions as both the ‘computer’ for the room and the camera/mic/speaker. You can connect to it by inviting the email address above, or by connecting your laptop.
Direct invitation (MS Teams meetings)
- If you've invited 9HSConference@penrosehealth.nhs.uk to your meeting, a link to join your meeting should automatically show up on the computer screen!
- Just tap on the Join button using the Logitech Tap touchscreen in the middle of the table to join the meeting.
- If you’re inviting the conference room from your nhs.net calendar, you’ll need someone else to let the conference room in (as it’s technically an external invitee). You can also join from your nhs.net email on your laptop to let the conference room in.
- Use the Logitech Tap touchscreen on the table to control the meeting settings.
- Use the remote control (should be on the table) to control the Logitech bar, for example to mute, unmute, and move the camera around using the arrow keys.
- This method only works for joining MS Teams meetings - for other meetings (e.g. Zoom), try connecting your laptop. ⬇️
Bring-your-own-device mode
- You can also use the two USB-C cables to connect your laptop to the computer! You can connect one or the other or both depending on what you want to do:
- The cable labelled ‘screenshare’ mirrors your laptop screen to the computer screen.
- The cable labelled ‘camera/mic’ connects your laptop to the Logitech Rally Bar Mini so you can use it. ⬇️
- The Logitech Rally Bar Mini (underneath the screen) acts as your camera, microphone and speaker used by your laptop.
- You can use the remote control (should be on the table) to control the Logitech bar, for example to mute, unmute, and move the camera around using the arrow keys.
Logitech Tap touchscreen
- If you’ve forgotten to invite 9HSConference@penrosehealth.nhs.uk to your meeting, but you have a Teams meeting link, you can use the Logitech Tap touchscreen to join the meeting
- On the touchscreen tap More… → Join meeting with ID → enter the Meeting ID and Meeting passcode to join using the meeting in the room
- Your Meeting ID and passcode can be found by opening the meeting in either Teams or Outlook and looking in the meeting info
Whiteboard sharing
You can now share the contents of the physical whiteboard in the room into a video call you're having with virtual participants on the TV! All you have to do is press the purple share button to start and stop sharing and you should see the contents share to Teams.
This uses the Logitech Scribe camera (the big white camera above the board) which has a built-in transparency effect, allowing participants to see “through” the whiteboard presenter/writer for an unobstructed ‘view’.
