What are tasks?
A Task is usually a request for someone or multiple people to do something, or to answer a query. A Task may be related to a specific patient or an administrative task.
How to access Tasks
Click the EMIS button β point to 'Workflow' β click 'Workflow Manager', OR
click 'Workflow Manager' on the homepage, OR
click the βTasksβ tab in the toolbar
The Tasks screen
When you open Tasks, this screen is displayed, showing your 'To-Do List' by default.
- The numbers next to your βTo-Do Listβ and next to βTasksβ in your toolbar are the total number of tasks assigned to you, followed by the number of high priority tasks you have.
- A red arrow is displayed beside high priority tasks, and they are displayed at the top of the list. These are tasks that have been marked as urgent, and escalation notifications.
- A βοΈ is displayed beside tasks that have been replied to.
- A βοΈ is displayed beside a task that has a note attached to it.
- The βDue Dateβ of a task is displayed in red if the task is overdue.
- You can see your sent or completed tasks by clicking on the relevant folder in the sidebar.
What does a task include?
Here is an example of a task requesting to book an appointment for a B12 injection:

How to send a task
- Access Tasks.
- On the ribbon, click βAdd Taskβ.
- For 'Task Type', click π½Β and select the required task type.
- If the tasks relates to a specific patient, next to βPatientβ click π½ and select the current patient's name, or click π and then use the Patient Find screen to find the required patient.
- If the tasks is for admin, enter a βSubjectβ.
- For βDue Dateβ, click ποΈ and then select the required date (The default is today's date).
- For βToβ, click π and search for the user or team that you want to send the task to.
- If required, check the box next to βAll recipients to action taskβ.
- In βNotesβ, type details of the action required.
- If required, check the box next to βUrgentβ.
- Click βSendβ to send your task!
If you select this option, a separate task is sent to each selected recipient, and they must all action the task.
How to reply to a task
You can only reply to tasks in the To-Do List. You cannot reply to cross-organisation tasks if the creator organisation does not accept tasks.
- Click on the task that you want to reply to.
- On the ribbon, click βReplyβ β select βReply to Senderβ or βReply to Allβ
- The βUser Task Detailsβ screen is displayed, with some details already completed.
- For βDue Dateβ, click ποΈ and then select the required date (The default is today's date).
- If you want to add any additional recipients, click π next to βToβ and search for a user or team.
- Type your reply into βNotesβ
- Click βSend & Completeβ to send the task and mark the task in your to-do list as complete, or just βSendβ if you want to keep the original task still.
Other task actions
There are lots of other actions that you can do with a task from the task toolbar:
- Change Owner β If someone else needs to action the task, you can change the owner of the task from yourself to another person by clicking βChange Ownerβ and finding the relevant person or team.
- Add Note β Click βAdd Noteβ if you want to make a note on a task for your own reference. Only you can see a note. A task with a note attached will have a βοΈ icon next to it.
- View History β Click βView Historyβ if you want to see all the past actions on a task.
- High Priority β To change a tasks priority (from high to low, or low to high) click on a task then click on βHigh Priorityβ to change the task priority.
- Forward β You can forward the task to another person by clicking βForwardβ. Choose who to send to, then click to βSendβ if you want to keep the original task, or βSend & Completeβ if you want to complete the task in your to-do list.
- Complete β If youβve finished with a task, click βCompleteβ to mark it as completed. You can complete a task and add a note if you want to
