Opening
One member of the Reception team will be nominated to open the surgery each day
Building Checks
- Turn off the intruder alarm.
- Note any error messages on the intruder alarm, CCTV or fire alarm system → inform Lead.
- Switch on lights and AC/heating as needed.
- Empty dishwasher.
- Check cleaning standards in waiting room, toilets, clinical rooms and staff room.
- Ensure patient arrival screen and patient call in screen → ON.
- If a new locum clinician is working, have the locum pack ready.
- Phones lines should switch back on at 8:00 automatically:
- If phones do not ring after 8:00 → test and inform Lead.
Computer/Technology Checks
- Log on to computer and test EMIS is working.
- Review EMIS appointment books to note which clinicians are working and to ensure all appointment books, duty books are in order.

One member of the Reception team will be nominated to close the surgery each day
Building Checks
- Reception, waiting room and working station should be tidied up and left clear for fellow colleagues to use next morning.
- Check the Vaccine fridges are working correctly - within range and no sign (sound or visual) of temperature being out of the range.
- DEF = defrost → it is normal for this to be displayed.
- Switch off air conditioning/heating.
- Make sure all windows are securely shut, including any roof-light windows.
- Remove prescriptions from all printers’ trays and keep them in locked cupboards in respective rooms.
- Ensure letters are stamped & posted.
- Ensure dishwashers are loaded.
- Check all areas of the premises including toilets to ensure patients and other members of staff have left the premises before setting the alarm.
- If another member of the team is staying behind to work, ensure that they know how to secure the building and inform your lead regarding the member who is staying late.
- Lock all external doors after setting the alarm if you are the last one out.
Computer Checks
- Complete any urgent tasks expected to be finished on the day.
- Log yourself out of the computer when finished.
- Ensure all computers are left ON for overnight updates.
