Proper storage of vaccines is essential. For details see: Managing Vaccines & Refrigerators
Routine vaccinations & immunisations
When booking an appointment for a vaccine, check the reason for the request. If it is for:
- Occupational Health (i.e. work related) → we do not do those.
- Travel → see below.
- Childhood immunisation → check patient records to ensure that the vaccine is due.
- Single-shot vaccine (e.g. Shingles) → check patient records to verify that it hasn’t already been done.
How to book the appointment
Follow the Immunisations POSTcard to find the appropriate person / slot type to book.
Remember to:
- look at the Consultation page and QOF box for relevant information.
- check upcoming appointments to ensure the patient does not already have one booked.
- remind the parent/guardian to bring their Red Book for childhood immunisations.

In some circumstances a certain amount of time is necessary between vaccines. In these cases the Nurse will inform Reception in ‘Comments’ of consultation notes on EMIS.
Travel vaccinations
We require a window of 6 weeks or more to administer travel vaccines. If the travel date is sooner than 6 weeks, we cannot administer the vaccines. Advise the patient to attend a Travel Vaccination Centre.
All requests should be made using the travel vaccine request form on your surgery’s website. If a patient calls to request travel vaccinations, they should be directed to fill in the form on the surgery website. If a patient does not want to use the form on the website, they can come into the surgery and fill out a physical form.
💬 You can send the Accurx template ‘Travel vaccination form’ which contains the link to the form
If you have any questions, ask one of your colleagues or the Reception Lead at your site
